Vacant post – Secretary – Science, Technology and Innovation Section (m/f) (16/02/2014)

1. Overall purpose
Assist in organizing the regular work of the Science, Technology and Innovation Section of the Delegation.
2. Functions and duties:
Participate in organisation of meetings: transmission of agenda, invitations, drafting minutes and all follow-up work,
Maintain contact with related Ministries and organisations.
Assist in arrangements for official visits from Headquarters.
In case of special needs, translate verbal notes and documents from English to Portuguese.
Administration Routine related to secretarial work (distribution of inward/outward mailing, typing, photocopying, paper and electronic filing, sending faxes, making appointments, maintenance and updating of mailing lists, information gathering, etc).
Update the agenda of the Head of Section (organisation and preparation of meetings, drafting of minutes, information gathering, preparation of dossiers, etc).
Ensure linguistic and layout review of reports, notes and mail.
Ensure updating and follow up for log-book of section activities.
Follow-up of the Communication’s tools of the Sector (webpage, booth, twitter, facebook, etc).
1. Formal education
A post-secondary education diploma or a secondary education diploma giving access to higher education plus 5 years of appropriate professional experience.
Very good oral and written knowledge of Portuguese and English.
Knowledge of other EU languages would be an asset.
Thorough knowledge of Microsoft Office (Word, Excel, Power Point and Outlook).
